The general participation rules at ZEPS fairs contain binding instructions that regulate application, exhibition, and business activities at fairs, based on which the contractual relationship between TAPAS d.o.o. Zenica as the organizer of ZEPS fairs and participants-exhibitors is established. In cases where the exhibition space is rented by other fair organizers to hold collective exhibitions on their own terms, the organizer reserves the right to change the specified prices.
Article 1
The application for exhibition is submitted on a standard application form in printed letters, signed and certified, and sent to the fair address. Following the same procedure, the corresponding fair service orders are also submitted with the application. The application must be submitted 30 days before the start of the fair. By submitting the application and orders, the exhibitor expresses agreement with the provisions of the General Participation Rules at ZEPS fairs, thereby establishing a contractual relationship with the organizer. Upon receiving a proper application, the organizer will send the exhibitor a draft of the stand for approval. The exhibitor must provide written confirmation of receipt and any remarks within 3 days. Otherwise, it will be considered accepted. Any subsequent changes will be charged at a rate increased by 30%.
Article 2
The application for exhibition is valid only for the registered company and implies the obligation of the exhibitor to display the registered exhibits from the opening to the closing of the fair with the constant presence of a responsible person at the stand. Leaving the fair before closing is strictly prohibited. The registered exhibitor cannot sublet the assigned exhibition space (stand) without the consent of the organizer. Otherwise, they will be removed from the fair with full payment of all fair orders.
Article 3
Along with the application for exhibition, the exhibitor submits proof of payment of the mandatory amount of 256.41 KM, excluding VAT (application fee and entry with the black-and-white company logo in the Fair Catalogue). The entry of represented companies is free. An application without proof of payment of the mandatory amount does not obligate the organizer but obligates the exhibitor.
Article 4
After receiving a proper application, the organizer will issue an invoice that the exhibitor is obliged to pay in full according to the deadline stated in the invoice. The exhibitor bears the costs of bank fees. The exhibitor may dispute the invoice in writing to the organizer within 5 days from the date of delivery, but must pay the undisputed part within the deadlines stated in the previous paragraph. By issuing the invoice, the organizer confirms the fulfillment of all invoiced orders to the exhibitor. Orders made during the fair must be paid immediately by the exhibitor. Exhibitors from BiH pay the invoice amount in KM, while international exhibitors pay in EUR. The organizer reserves the right to adjust prices in case of EUR inflation.
Article 5
Depending on the available space, the organizer may accept the application and payment after the prescribed deadlines, with the right to increase all fair prices due to increased costs.
Article 6
The organizer reserves the right to retain exhibits, equipment, and other exhibitor property at the exhibitor's expense until all debts are settled. The organizer reserves the right to sell retained items if the exhibitor does not settle the obligations within 30 days.
Article 7
The exhibition space (stand) is generally assigned in the order of received applications and payments. The assigned stand is taken over at the Fair Reception Office based on the original proof of payment of the mandatory amount and the total fair order as follows:
Article 8
If the exhibitor does not report to the Reception Office or does not take over the assigned stand no later than 18 hours before the start of the fair, it will be considered that they have withdrawn from exhibiting. The organizer may then, if necessary, allocate the space to another exhibitor. The stand is taken and handed over based on an official report. Missing assigned stand material will be charged to the exhibitor at a price three times the rental rate on the spot. The exhibitor is obliged to vacate the exhibition space within two days after the official closing of the fair. Otherwise, the organizer will do it at the exhibitor\'s expense.
Article 9
A registered exhibitor may withdraw from exhibiting under certain conditions, as follows:
Article 10
If the exhibitor constructs the stand independently, they must comply with technical safety regulations, the organizer’s instructions, and standards common to international fairs. For constructing larger and more complex stands under the exhibitor’s own management, the organizer\'s consent to the project is mandatory. When the exhibitor independently equips the stand, the fair organizer has the right to charge overhead costs incurred during assembly and disassembly at a rate of 3% per m² of the fair price of equipped space.
Article 11
The exhibitor is obliged to insure their own equipment, exhibition exhibits, and goods against burglary, damage, destruction, and other risks with the official fair insurer. The fair organizer is not responsible for the equipment, exhibition exhibits, and goods that the exhibitor does not insure, nor for theft insurance during the fair’s working hours. If the exhibitor causes damage to the fair organizer, another exhibitor, or a third party, they are obliged to compensate for the damage in accordance with general regulations.
Article 12
All other business activities, except for exhibiting exhibits, are regulated under special conditions within a bilateral relationship with the organizer and are conducted based on the organizer’s special written approval. The provision from the previous paragraph also applies to exhibitors when performing these activities outside the leased exhibition space.

The exhibitor has the right to be granted free exhibitor badges-official entry tickets as follows:

Working hours for exhibitors are from 9:30 to 18:30, and for visitors from 10:00 to 18:00.
Article 15
Cleaning and maintaining the hygiene of the stands and common fair areas is the responsibility of the organizer. The cost of stand cleaning is specified in the price list.
Article 16
In case of a change in the fair date due to force majeure, the exhibitor has no right to compensation from the organizer. The organizer will inform the exhibitor of the new fair date immediately upon the occurrence of the reason for the change.
Article 17
All possible disputes shall be resolved by the competent court in Zenica.

General participation rules are an integral part of the application - order, regardless of the method of submission and receipt of the application - order.
